Member Participation in spSF Governance and Initiatives
The Society for the Promotion of Speculative Fiction exists to encourage creativity, support writers, and invest in the future of storytelling in our community. Decision making is the purview of the Board of Directors but the board alone can’t do all the work needed to support spSF’s mission. Committees have been established to support the Board. Each committee is chaired by a Board Member. These committees are spearheading many successful initiatives, and welcome new members to bring good ideas to the group!
COMMITTEES
- BayCon Bid Committee (chaired by Chris Castro): Responsible for planning and executing the bid process for future BayCon events. This includes developing and presenting a compelling bid proposal, researching and securing suitable venues, identifying and negotiating with potential Guests of Honor, and outlining a vision that aligns with the event’s themes and goals. The committee coordinates efforts with various stakeholders, ensuring compliance with both internal guidelines and external requirements, while also managing promotional efforts to garner support for the bid. Their work is critical in ensuring the successful selection and organization of upcoming BayCon conventions.
- Bylaws & Governance Committee (chaired by Chris Castro): Responsible for reviewing, maintaining, and recommending updates to the organization’s governing documents, including its bylaws, policies, and procedures. The committee ensures that these documents remain aligned with spSF’s mission and legal requirements, while also promoting best practices in nonprofit governance. Additionally, the committee advises the Board on governance matters, facilitates the orientation and education of new board members, and monitors compliance with the bylaws. Their work is crucial in upholding transparency, accountability, and effective leadership within the organization.
- Events Oversight Committee (chaired by Dr Wanda Kurtcu): Responsible for providing strategic guidance and oversight for all spSF-sponsored events, including conventions (including BayCon), workshops, and special programs. The committee ensures that events align with the organization’s mission and goals, while also adhering to budgetary and operational standards. They work closely with event planners and coordinators to review planning processes, assess potential risks, and recommend improvements. Additionally, the committee evaluates event outcomes and provides feedback for future planning. Their role is vital in ensuring that spSF events are successful, well-organized, and impactful for attendees.
- Financial Committee (chaired by SallyRose Robinson): Responsible for overseeing the financial health of the organization. Key duties include developing and monitoring the annual budget, reviewing financial statements, ensuring compliance with legal and regulatory requirements, and managing internal financial controls. The committee also advises on investment strategies, coordinates audits or financial reviews, and collaborates with the fundraising team to support long-term financial sustainability. By providing financial insights and guidance, the committee plays a vital role in ensuring the organization’s fiscal responsibility and strategic planning.
- Fundraising & Development Committee (chaired by Robin Vasilakos): Responsible for creating and implementing strategies to secure financial support for the organization. This includes planning and executing fundraising campaigns, identifying potential donors and grant opportunities, cultivating relationships with supporters, and developing initiatives to boost membership and donations. The committee also collaborates with other teams to align fundraising efforts with spSF’s mission and long-term goals. Their work ensures the financial sustainability and growth of the organization by generating the resources needed to achieve its objectives.
- Marketing Committee (chaired by Shavon Walker): Responsible for developing and executing marketing strategies to promote the organization, its events, and its initiatives. This includes creating and managing promotional campaigns, overseeing branding efforts, and ensuring consistent messaging across all communication channels. The committee works to increase visibility, engage target audiences, and support membership growth and fundraising efforts. Additionally, they analyze marketing performance and adjust tactics as needed to maximize impact. Their work plays a key role in advancing the organization’s mission and expanding its reach within the community.
- Member Services & Programs Committee (chaired by Marsha Glassner): Responsible for enhancing the experience and value of membership within the organization. This includes developing and managing member benefits, services, and engagement programs that align with spSF’s mission. The committee also gathers member feedback to identify areas for improvement and works to build a strong, supportive community. Additionally, they design initiatives that foster learning, networking, and participation, ensuring that members feel valued and connected. Their work is central to retaining and growing the organization’s membership while supporting the needs and interests of its members.
